Role Summary

Aubay is seeking a resilient and adaptable Project Support Officer to join our thriving client in the Financial Services sector and be part of their cloud migration programme. Key responsibilities will include supporting the IT Governance area in enforcing proper governance and processes adherence within project teams and supporting the IT department in delivering documentation and assets in accordance with policies and procedures, encompassing tasks such as administration, stakeholder management, and communication with internal departments. Required Skills and Experience

  • Over 4+ years of experience within Project Management Officer or Project Support roles
  • Demonstrable Microsoft Office advanced skills (Outlook, Word, Excel, PowerPoint)
  • Adaptability to fast paced, changing environments
  • Good interpersonal and communication skills
  • Initiative and focus on delivery and results
  • Familiar with key Agile frameworks
  • Previous knowledge of working within cloud projects
  • Understanding of different business functions
  • Experience within the Financial Services Industry
  • Excellent stakeholder management skills including at a senior level
  • Minimum of 5 GCSEs at C grade or above (inc. Maths and English)

Desirable Skills and Experience

  • Prince2 Foundation certification
  • Experience delivering detailed documentation as well as high level executive summaries
  • Understanding of project delivery and governance
  • Competent using Microsoft Project, Visio and SharePoint
  • Previous IT Administration Experience

Key Role Responsibilities


  • Follow the established Project Management Methodology
  • Support the Department in ensuring conformity to audit/compliance policies
  • Draft and format relevant documents as requested using standard project templates
  • Ensure the teams are working to the correct project management standards and support training to IT team on the methodology. Look to conduct Quality Checks across the processes
  • Responsible for managing IT Reports for Central; ITPP, Notable, CIO and Clarity reporting

Portfolio and Capacity Planning

  • Manage the upkeep and accuracy of the IT Portfolio plan and capacity plans and identify potential gaps/risks
  • Work closely with Head of IT Governance and Provide support to ADM delivery teams and PMOs as required
  • Support activities to organise and run the monthly portfolio governance and investment board and other governance activities by providing recommendations, briefing and management information reports on the portfolio, collating inputs from the various stakeholders and creating packs and minutes

Project Support

  • Assist in planning and arranging meetings
  • Create agendas and take meeting notes; publish these in a timely and accurate manner
  • Create and update policy documents for both the IT Function and Projects
  • Interact with various Heads of Department/Functions to assist in carrying out their requests
  • Prepare status reports, specialist reports and exception reports as necessary
  • Review and accept work packages developed throughout the project lifecycle
  • Provide the designated manager with the relevant information and details to enable key decisions
  • Manage and work with ADM teams for accurate time sheets for multiple contracts
  • Support the raising and approvals of PO for contract staff on projects
  • Responsible for sending out weekly news briefs to Project Management teams
  • Support the IT teams on how to use the 3rd party project management system correctly

Stakeholder Management and Communication

  • Effectively engage staff working within various departments and sites towards achieving common goals
  • Identify and assess key stakeholders taking appropriate actions to set and manage expectations
  • Work alongside key stakeholders, adapting the approach as required to deal with changing circumstances
  • Communicate effectively both within the project and with external stakeholders at all levels and in different locations
  • Keep abreast of key communications including strategic initiatives and company briefings
