Role Summary
Aubay is seeking a highly organised and detail-oriented PMO & Contracts Coordinator to support our Project Management Office (PMO), procurement, and resource management functions. This role will involve contract facilitation, budget tracking, project coordination, and enhancing internal processes. Strong PowerPoint design skills are essential, as you will be responsible for transforming content into professional and engaging presentations for various stakeholders. The position involves substantial travel to Doha, Qatar. Further details about the travel requirements will be provided during the interview process.
Required Skills and Experience
- Experience in contracts administration, procurement, and/or PMO support.
- Strong financial acumen, with experience in budget tracking and invoice processing.
- Proficiency in Asana, SharePoint, and Microsoft Office (especially PowerPoint and Excel).
- Ability to create engaging and innovative presentations using PowerPoint.
- Strong organisational and communication skills.
- Experience working with legal, finance, and procurement teams is a plus.
Key Role Responsibilities
Contracts & Procurement
- Facilitate new and amended contracts, liaising with Legal, vendors, contract champions, and budget sponsors.
- Maintain and update the Legal priority list.
- Coordinate internal CRAF Form approval processes.
- Oversee KYC (Know Your Customer) checks for new vendors.
- Ensure contracts align with Memorandum of Agreement (MoA) and budget requirements.
- Track and follow up on contract-related actions.
Resource & Budget Management
- Update the MTE resource report on a monthly basis.
- Maintain a resource tracker for budget planning.
- Manage costs, track budgets, and collaborate with Finance on invoice settlements.
- Streamline finance processes related to account settlements.
- Handle ad hoc finance requests and audit requirements.
PMO Support
- Follow up on weekly status reports and project updates.
- Support Project Managers in maintaining project data in Asana (project portfolio tool).
- Assist in SteerCo meeting preparation.
- Oversee onboarding for new team members.
- Manage team travel logistics, including visa applications and building access requests.
- Maintain MTE documentation and ensure proper records management.
- Organise and manage key meetings.
SharePoint Management
- Maintain SharePoint access rights.
- Develop and enhance SharePoint site pages.
- Provide basic end-user training for SharePoint.
PowerPoint & Design
- Transform raw content into professional, visually appealing presentations.
- Design slides that align with branding and messaging for different audiences.
- Support the PMO Lead with presentation materials for executive and stakeholder meetings.
