Role Summary

Aubay UK seeks an experienced Project PMO as a right hand of project and programme managers. The PMO acts as a crucial support system by centralizing activities around resource planning, budget management, change management, reporting, and product quality control. This role may also involve leading a small team of junior program control services members, assigning tasks, setting objectives, ensuring quality, and providing motivation and performance feedback.

Required Skills and Experience

  • Strong grasp of Project Delivery Framework (PDF), adept with both Waterfall and Agile methodologies.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint, Project, Visio), PPM tools, and required templates for creating and managing project deliverables.
  • Expertise in project portfolio management, risk tracking, change management, and ensuring compliance with PDF standards.
  • Experience in defining and implementing PMO environments tailored to project needs, optimizing tool usage, and establishing robust processes.
  • Ability to support PMs in resource planning, budget tracking, compliance, and managing project closure.

  • Familiarity with IT project setup and compliance with PDF standards.
  • Strong organizational, communication, and analytical skills to lead and motivate teams effectively.

Role Responsibilities

  • Support project and programme managers with resource planning, budgeting, change management, and reporting.
  • Lead a team, assign tasks, set objectives, ensure quality, and provide performance feedback.
  • Apply PDF with proficiency in both Waterfall and Agile methodologies, ensuring smooth IT project setup and compliance.
  • Ensure compliance by setting up appropriate repositories, maintaining data quality, and managing deliverables effectively using Microsoft Office tools, PPM, and templates.
  • Produce timely project reports, manage risks, maintain change logs, and ensure documentation accuracy.
  • Define and implement PMO environments and toolsets that are fit for purpose, optimizing tool usage and ensuring adequate processes, assurance, reporting, and communication are in place.
  • Assist PMs in defining resource requirements, activity sequencing, and estimating durations to develop baseline schedules.
  • Track and manage activity progress, dependencies, and deviations to ensure project milestones are met.
  • Support PMs in managing resource plans, initiating project resource requests to suppliers, and monitoring timecards.
  • Create project budgets, facilitate approval processes, and track, report, and reconcile actual costs and revenues across the project lifecycle.
  • Proactively ensure project assurance compliance through coordinated reviews, audits, and tracking of necessary actions.
  • Facilitate project meetings, track minutes, and actions, ensuring formal project closures and subsequent reviews to capture lessons learned.
  • Onboard new Project Managers, supporting their integration into the Project Delivery Framework.
